Position Overview:
The Fundraising Event Support Assistant is a temporary, part-time position (approximately 15 hours per week) supporting the Advancement team in planning and executing two major spring fundraising events. This role assists with guest coordination, auction logistics, and general event preparation to ensure the successful operation of both events.
This position is expected to run from March 30, 2026 through May 24, 2026. The role is primarily hybrid, with full on-site availability required from April 13, 2026 through May 1, 2026 and May 13, 2026 through May 15, 2026 during the peak event preparation period.
The ideal candidate is reliable, organized, and able to manage multiple tasks in a fast-paced environment while supporting the event team’s operational needs.
Essential Functions and Responsibilities:
Support the planning and execution of the school’s two major spring fundraising events:
Big Night
A traditional fundraising gala featuring a silent auction, live auction, and paddle raise.
Grandparents’ and Special Friends’ Day
A breakfast and presentation for guests followed by an open house and student-led tours.
Responsibilities include:
Assist with RSVP tracking and guest management
Support auction logistics, including item organization, bid sheet tracking, and winner coordination
Coordinate distribution of event materials
Assist with event setup and preparation tasks
Provide general administrative and logistical support to the Advancement event team
Maintain clear communication with team members and respond to event-related needs as they arise
Be flexibly available onsite during key preparation and event periods
Education
Some college education, preferably working towards or completing a Bachelor’s Degree

Prior event support experience preferred but not required
